Administrative Student Assistant 

Job Description

The Administrative Student Assistant supports the daily operations of the TLC and contributes to a welcoming, well-coordinated learning support environment. Working at the front desk and behind the scenes, the assistant helps ensure students can access tutoring, academic coaching, and supplemental learning support efficiently and equitably. This role requires professionalism, attention to detail, and a strong commitment to student service. Administrative Student Assistants develop transferable skills in communication, organization, and operations while playing a meaningful role in supporting student success across campus. 

Compensation and Estimated Hours

$16.90/hour; Approximately 10 hours of work per week based on program needs and availability

Duties and responsibilities

  • Serve as a primary point of contact for students and visitors, providing accurate information about TLC services and connecting individuals with appropriate resources
  • Support appointment scheduling, data entry, attendance tracking, and other administrative processes that ensure efficient and effective operations
  • Maintain confidentiality and professionalism in all student interactions and records, in compliance with FERPA 
  • Communicate professionally with students, staff, and campus partners in person, by phone, and via email
  • Maintain an organized, welcoming front desk 
  • Open and close the center as scheduled and follow established operational procedures
  • Participate in required trainings, staff meetings, and professional development activities
  • Support TLC events, outreach efforts, and special projects as assigned

Required Qualifications

  • Active enrollment in a Cal Poly baccalaureate or post-baccalaureate program
  • Minimum cumulative GPA of 3.0, maintained throughout employment
  • Strong communication skills and the ability to engage effectively with students from diverse cultural, socioeconomic, and educational backgrounds
  • Demonstrated professionalism, discretion, and ability to maintain confidentiality
  • Ability to work both independently and collaboratively as part of a team
  • Proficiency with Microsoft 365 applications, particularly Word and Excel

Preferred Qualifications 

  • Prior experience in customer service, administrative support, or front-facing role
  • Familiarity with appointment scheduling systems or office workflows
  • Interest in learning support services or higher education advising environments
  • Ability to commit to a minimum of 10 hours per week and a full academic year
